  1. Copy the applicant's google drive on submit
    1. create an option for the applicant to make a copy of the shared drive; default to Yes
    2. auto submit process will create a shared drive
    3. might cause some confusion because we'll have a proliferation of Drives
  2. Oct 2nd deadline
    1. contract states that the applicant should have access to the application 6 weeks prior to the deadline
    2. the applicant didn't have access to the platform but had access to the hard copy
    3. some Manoa applicants' TnP applications were created within 6 weeks of the deadline
    4. argument would be stronger if electronic was mandated
    5. postponing would disrupt the review schedules
  3. Manoa - Granting access to Dean's after the process is over
    1. grant the coordinators access to the dossier as they are the holders of the records
  4. Drop out of the process.  Should we delete the application or change the year--pros and cons of each, and whether one is preferred over the other?

  5. Update on the contract renewal process?
    1. UHWO deadline Oct 9th
    2. 4 year campuses has I2 in-rank promotions (Manoa to create specs and share with UHWO)
  6. Share what the portal operation process looks like for reviewers
  7. Placing FAQ on Electronic Dossier Website?
    1. Make one consolidated FAQ
    2. Finalize changes by 9/11
  8. Send email when the process is completed
    1. the process is FINAL when the President approves so possibly send it June 30th after the President makes his recommendation
  9. UHWO - DPC exclusions (deadline the week before the application deadline)
    1. TPRC/DPC exclusions deadline is Sept 25th
    2. DPC exclusions is a departmental choice
  10. Any one been posed with the question about committee's not wanting to meet - hard copy. Does the staff scan it?
    1. We don't want to expose staff to security issues because they shouldn't view it
    2. How can we transfer that risk to a staff member?
    3. Just the dossiers are copied, not the supporting documents
  11. Take out conversion to native google doc for 2020-2021
    1. we've got some wierd mime type conversion going on with images and pngs


Negative Review process

  • review the email going out
  • after TPRC review
    • email goes out to applicant if any negative recommendation
    • applicant permissions
      • will see the "Review Dossier" button
      • will see the "Reviews" tab
      • will have access to view the files on their dossier
