Make Copy of Shared Drive on Submittal

Functionals agreed to make a copy of the applicant's shared drive when the application is submitted

What

• Copy the applicant's shared drive on submittal if a copy hasn't already been created
• Send an email to the applicant when the copy is made
• Add a column to the APPLICATION db table to track if a copy was made
• Add a record to the action log when the copy is made

When

• When the applicant hits the submit button
• When the auto submit process runs

Why

• It's a tedious process for applicants to make a copy of their shared drive themselves because you can't copy folders from shared drives
• Applicants needs access to what they submitted in the event that a committee requires additional documentation

How

• programmer to decide on scheduling the batch job to create the copy or bypass the scheduling and kick off the job as part of the submit process

Other Considerations

• If an app needs to be sent back to State 101
  • delete the copy (if uhtnp still has Manager access) and recopy
  • reset the copy flag in APPLICATION db table
• For the quartz job on the Administration panel, do not look at the copy flag in the APPLICATION db table
