Suggestions for Improvement

Scanning

  • Could ITS scan for missing documents? I caught a couple that I accidentally moved to trash and since Google will display files in trash for up to a month applicants may not realize the file is no longer there (although it says in small print on top of the page “file in trash”). 
  • Should we only flag errors if the hyperlink is to a native google document?
    • addresses the anonymity concern but not the access concern where reviewers might not have access to the files outside the shared drive
  • Scan hits caused by contract renewal applicants re-using their appendices document with hyperlinks to files in their prior year's contract renewal shared drive
  • Reword messaging in the link scanning report
    • app will still be submitted
    • you only have to move/copy the bulleted files
    • the numbered files are already in your shared drive
    • we scanned all files on your dossier
  • Only scan files on the dossier
    • i'm biased/brainwashed  because our original concept was the the dossier tab would be the only files

    • advantages
      • scan is quicker
      • easier to understand for the applicants
      • applicants don't have to worry about the files that they don't plan to show to the reviewers
    • disadvantages
      • potentially lots of unused files in the shared drive (but it is supposed to be a workspace)
  • don't allow scanning an hour before the t/p deadline

Auto submission job

  • bring the site down at 4:30pm
    • start the auto sub job at 5pm so that the other quartz jobs 
  • reminder feature
    • set it up as a job or on startup
    • 2 weeks before the auto submit date
    • only send to In Progress apps
    • 1 mo, 2 weeks, 1 week?
    • list issues or reminders like scan hits, exclusions, eligibility review

Feedback

  • have predefined FAQ answers based on the chosen topic in the feedback form

Dossier

  • url to the shared drive
  • pre-create the sections in the drive and create a starting narrative document
  • reporting
    • how many 2021 applicants didn't link anything to their portal?
    • how many sections do applicants have per campus?
