Stricter controls for student-related roles
Starting 12/21/2021, the student role will only be assigned to people who register. This is a change from the current behavior of assigning the student role when an applicant is admitted or when a person applies to a community college.
Furthermore, financial aid applicant information will no longer be returned in the CAS/Shib/LDAP uhOrgAffiliation attribute. All other applicants will continue to be returned in that attribute. Admitted applicants who used to get the student role will show there as admitted-applicant. The new UHIMS Events role value for admitted applicants will be preStudent.admitted. In the future, all applicant information may be generalized as just applicant or removed altogether. Please let us know if you expect that potential change to be a problem for you.
Applicants are not eligible to transition into ohana. Their UH usernames will be removed if they have not become a student after two weeks from the start of the semester for which they applied. However, if they have applied for an upcoming term, their applicant status and UH username will remain.
Students will lose that role the moment their campus deactivates their student status record (SGASTDN) in Banner. This is not always done, so our fallback is to expire students two weeks before the end of Fall or Spring if there are no registrations for current or upcoming terms.
Faculty roles come from HR data in PeopleSoft and from faculty assignment data in Banner. The teaching-a-course faculty role that comes from Banner will have a 30-day grace period before it is expired. A faculty member leaving the university may no longer be in the PeopleSoft HR, but our services may still consider this person faculty during the grace period.
When these changes take effect on 12/21/2021, any applicants for Fall 2021 or prior semesters will immediately lose their UH Usernames if they have no history of registration and have not applied for an upcoming term. Some of these admitted applicants may have been assigned the student role (community college applicants, especially) but they will lose that student role and their UH Username because of the aforementioned reasons.
