Application Questions

Eligibility: do we want the Dean/HR to fill out this information?

  • Colleges put a callout and ask who's applying for tenure or promotion and they get a list of names
    • New Process: Chancellor's secretary will enter information for their applicants applying for tenureputs in information and 
      • sandra to provide us with the names and usernames of Chancellors and their secretaries (permission to create application)
      • no need Dean's approval
      • leave in the certification Part II B and C (Sandra thinks it's there for historical purposes)
  • can college be a drop down list or are there too many colleges to list?
    • yes because colleges for CCs are the campuses so it'll be a drop down of CC campuses
  • can subject area be drop down list or are there too many colleges to list?
    • no because there are too many

Certifications

  • Can they all be checked off when they submit their application and dossier for review
    • yes, include all certifications Part II A - D

Can we include the exclusion form with the application?

  • that's would be awesome, add it as sub menu section along the top of the screen
  • the list of faculty is not digitized but Sandra creates the list for CC's and System OHR (used to be Carole Teshima) does it for Manoa
    • comes in excel format so we can do an upload process in Phase II but Phase 1, ITS will load the faculty into a table/grouper and pull the names from there.
  • exclusion form must go to the Chancellor's office so ONLY the Chancellor's office can see this form (permission)
  • the list of faculty changes annually

Do we keep the Endevors sections that you created for Interfolio?

  • for now yes and she'll get more feedback from the field when she markets this
  • all sections are required

    • allow them to add and name sections however they see fit
    • give example of sample sections or have some set sections that they can augment onto

 

Workflow Questions

Are the members of the DPC, DC, Dean, TPRC set by the Chancellor's secretary?

  • If not, is there a source of record for that information?yes, Sandra said it would be ideal if the members of all committees were set by the Chancellor's office
  • No source of record for DPC (members are voted on), DC, Dean so it makes sense for the Chancellor's office to set this

Misc

Who initiates the case for the faculty?

  • we are going to have the Chancellor's office do it

Do the uploaded files need to be encrypted at rest? Will there be sensitive information in them?
